Column level keywords define the column usage for each data row and can only follow the keyword <DEFN>. Each column keyword must only occur once, if present.

<EMPID>

The employee number, to which subsequent data in the spreadsheet row applies.

Must be a valid employee number.

It can appear in any column of the definition row, but it is recommended it appears in the first column for spreadsheet clarity.

Mandatory.

<POSTID>

The post, to which subsequent details in the spreadsheet row applies.

This can be the actual post ID, MAIN - which uses the employee's main post holding as of the effective date, or EMPLOYEE - which uses the EMPLOYEE post.

<SDATE>

Absence period start date.

Format DD/MM/YYYY - employee must be employed as of this date.

Mandatory.

<STIME>

Absence period start time.

Format HH:MM.

This defaults to the work pattern start time or system start time if blank.

Optional.

<EDATE>

Absence period end date.

Format DD/MM/YYYY - employee must be employed as of this date.

Mandatory, unless the corresponding leave management parameter permits open-ended absences.

<ETIME>

Absence period end time.

Format HH:MM.

This defaults to the work pattern end time or system end time if blank.

Optional.

<ABSTYPE>

Absence period type.

Must be a valid leave management type.

Mandatory.

<{User Fld}>

User-defined field ID.

By specifying a valid user-defined field ID in this keyword and then supplying a relevant value within the employee records, this will then populate the leave management user-defined field window.

Optional.

<NOPROC>

The No Process indicator.

Set to Y when loading historical records. This ensures the historical absences are recorded for information purposes only, and are not processed or paid.

Optional.

<ABSCODE>

Absence code.

Must exist in the narrative category specified against the absence type.

Mandatory if a narrative category has been selected against the absence type.

<ABSRSN>

Absence reason.

Must exist in the narrative category specified against reason, if the Reason field has been attached to the absence type.

Mandatory if the Reason field has been set as mandatory for the absence type.

<LINKDATE>

Absence link start date.

Format DD/MM/YYYY

Mandatory if the Date field has been set as mandatory for the absence type.

<CERTTYPE>

Certificate type.

Must exist in the narrative category specified against certificate type, if the Cert Type field has been attached to the absence type.

Mandatory if the Cert Type field has been set as mandatory for the absence type.

<CERTPROD>

Certificate produced indicator.

Must be Y or N.

Mandatory if the Auth Cert Produced field has been set as mandatory for the absence type.

<ABSUNIT>

Absence unit type.

Must be D - Daily, H - Hourly or W - Weekly.

Must match the unit type specified against the leave management parameter.

Mandatory if <UNITSSREQ> is populated.

<NOWRKTM>

No Daily Details available indicator.

Must be Y or N.

Optional.

<UNITSSREQ>

Total units requested for payment.

Format HH:MM for hourly entitlement types or 999999.9999 for daily entitlement types.

Mandatory if No Times field is set to Y against employee's work pattern and unit type is D.

<PAYPCT>

Payment percentage.

Format 999.99.

Optional.

<STABSHRS>

Number of absence hours on the start date.

Format HH:MM.

<ENDABSHRS>

Number of absence hours on the end date.

Total hours lost on absence.
