Enables you to maintain the calendar details required for tax period sets. Before you use this screen, you must first have set up tax period sets using Create Tax Calendar Sets.

Note: HMRC has made permanent changes to the way payrolls are reported to help universal credit claimants where their employer pays them earlier than usual due to bank holidays e.g. Christmas.

Employers who do pay early due to bank holidays should report their normal (or contractual) payday as the payment date on their full payment submission (FPS) and ensure that the FPS is submitted on or before this date.

If you are planning to pay your employees sooner due to a bank holiday, please make sure you amend your Tax Period Set Calendar to reflect this guidance.

For example, an employer who pays early on Friday, 20 December 2019, but the normal/contractual payment date is Tuesday, 31 December 2019, should report the payment date on the FPS as 31 December and ensure the submission is sent on or before 31 December.

1. Change the Regular Pay Date field to your new earlier pay date. This pay date will appear on employee's payslips and payroll reports.

2. Change the EFT Processing Date field, the date on which the payments will be processed by BACS, to the first working day before the early pay date.

3. Ensure the Payment Date (U.K.) field shows the normal/contractual pay date. This is the pay date that is reported on the HMRC FPS.

HMRC advises employers that doing this will help to protect employees’ eligibility for universal credit, as reporting the earlier payday as the payment date may affect current and future entitlements

General

Tax Period Set

Enter the tax period set for which you want to maintain calendar details, or select one by clicking window to display Select Tax Period Set.

Pay Type, Periods In Tax Year

Display only. The system displays the information entered in Tax Period Sets.

Tax Year

Enter the tax year that starts at the beginning of April, in four-digit format, for example, 2014.

Period

Enter the number of the tax period (01 being the first in the tax year), or click WINDOW to select from Tax Period Set Calendar.

Run No.

Enter the pay run number for this tax period. For standard pay runs enter 0. For supplementary pay runs, add 1 to the highest supplementary pay run number shown on the Tax Period Set Calendar window for this tax period. For example, for Tax Period 11, enter 2 for the second supplementary pay run number if the window shows ‘Supp1’, indicating that one supplementary pay run has already been run.

If the tax year, period and run number combination does not exist, a prompt is displayed allowing you to create the new calendar details.

Details

This section of the screen holds information specific to this pay run and tax period. The system performs validation as you enter values in these fields. For example, it informs you if you enter a Regular Pay Date that occurs on a weekend.

Start Date, End Date

Enter start and end dates for this tax period. These fields are used in part-payment calculations.

Regular Pay Date

Enter the regular payment date for this tax period.

EFT Processing Date

Enter the date on which the payments will be processed by BACS.

Credit Transfer Date

Enter the date that appears on credit transfer stationery produced in this tax period.

Cost Transfer Date

Summarised pay run information is written to a nominal ledger, which can subsequently be used for cost analysis purposes. Enter the date of this cost transfer for this tax period.

Cost Batch Date

Enter the date that the payroll details are put into a cost batch. The cost batches can subsequently be grouped together, analysed and transferred on the Cost Transfer Date. For example, if there is a weekly payroll and the cost transfer occurs every month, then the Cost Batch Date may be every Friday, and then the 4 or 5 cost batches are transferred on the Cost Transfer Date, which may be at the end of the month.

Weeks In Tax Period

Enter the number of weeks in this tax period, for example, enter 4 or 5 for monthly tax periods. Any weekly-based pay elements that are paid monthly are multiplied by the value in this field, in order to obtain the monthly amount. Also, this value may be useful for costing purposes.

Note: For employees with a Gibraltar legislation type, this value is the default number of weeks used for the calculation of Social Insurance. You should populate this field using the schedule of the number of Social Insurance weeks in each contribution month that the Gibraltar Income Tax Office publishes.

Employment Qual Date

Enter a cut-off date, after which, new employees who join your organisation during the selected tax period are not paid. Any employees affected by this, are usually paid in the next period.

Relevant Period

This field is not currently used in ResourceLink.

Quarter Number

Enter the quarter number applicable to this tax period.

Payment Date (U.K.)

This field is only applicable to UK legislation types. Enter the pay date if it is different to the Regular Pay Date; typically this field would be used for supplementary runs and early pay dates. This date (or the Regular Pay Date if it is blank) is reported on the FPS for both the main and supplementary runs.

Note: Payment Date (U.K.) should only be completed for UK payrolls. Leave blank for any other legislation types otherwise an error message will be displayed and the record cannot be saved.

Reporting Month

The reporting month applicable to this tax period, which is used to process month-to-date amounts. This is automatically calculated when the tax period set is created but can be amended if required.

Payroll Cut Off Date

Enter the payroll cut off date for this pay period. This date is used to default and validate the section change start dates; if the current date is before the cut off date, the previous pay period start date is used, otherwise the next period start date is used.

PRSI Weeks in Period

This field is only applicable to Irish legislation types. Enter the default number of PRSI weeks in this tax period. This is automatically calculated based on the pay type when the tax period set is created but can be amended if required.

Payslip Online Date (MyPay Pro only)

This date is used to determine when the MyPay Pro online payslip is made visible in MyView Dashboard. If left blank, payslips are displayed from the tax period pay date.
