Enables you to define and maintain the default diary settings for every operator who wants to use the system diary to record appointments.

Logon Warnings

When an operator logs on, the system checks their diary to see if there are any entries present for the current day and for a specified number of days in the future. If there are, and their profile has been set to display them, a dialog box is displayed asking if they want to enter the diary.

From this prompt the operator can enter Y to view the diary to view the entries.

The fields in this section let you specify whether ResourceLink is to prompt when diary entries exist, and if so, the number of days’ entries to display.

Diary Display Ind

Enables you to specify whether ResourceLink automatically displays any diary entries that exist, or gives the operator the choice of viewing the entries.

Valid entries:

P To display a prompt to display the diary screen during log on when diary entries exist.
A To always display the diary screen if diary entries exist when the operator logs on.
N To suppress both the prompt and the diary screen during log on, when entries exist.

Logon Warning Days

You can only access this field if you entered P in the previous field. Enter the number of days in advance ResourceLink is to prompt for operator diary entries. For example:

1 To display the diary prompt only on the day of a diary entry.
2 To display the diary prompt on the day before an entry as well as on the day of the entry.
3 To display the diary prompt two days and one day before an entry as well as on the day of the entry.
null To suppress the diary prompt at all times.

Person Warning Days

Enter the number of days in advance ResourceLink is to prompt for person diary entries. It works in the same way as the Logon Warning Days field. In this case, a prompt can be displayed when the operator selects a person (for example, an employee) for a particular task. When this happens, ResourceLink checks whether there are any diary entries to be displayed.

If there are (and this field has been set), a dialog box is displayed asking if you want to enter the diary.

Note: The diary prompt is only displayed if the Diary field on the Maintain Tasks screen for the task you have selected is set to Y.

Diary Defaults

Event Code

Enter or select an event code from the drop-down list that you want to be the default when the operator creates a new diary entry. This default applies to both operator and person diaries. For example, enter an event code for ‘meeting’ if the operator diary is mainly used to record meetings. The options are set up in the DIARYC narrative category.

Priority Code

Enter the priority code that you want to be the default when the operator creates a new diary entry. This default applies to both operator and person diaries. The priority code identifies the importance of the diary entry – for example, 1 for high priority, 2 for medium priority, 3 for low priority, and so on. Alternatively, you can also use characters – for example, A for high priority, B for medium priority, and so on.

Private Flag

Enter Y in this field if you want to hide the selected operator’s diary entries and notes from other operators. This only applies to the operator diary. If another operator tries to look at the operator’s diary, ** Private Entry ** is displayed against diary entries and access is denied to Notes.

Action Status

Enter or select the status code from the drop-down list that you want to be the default when the operator creates a new diary entry. This default applies to both operator and person diaries. The options are set up in the DIARYS narrative category.

Delete Date Delay

Enables you to delay the deletion of diary entries until a specified number of days after the date of the event. Enter the number of days before the operator’s entries can be deleted via Diary Batch Deletion.

Standard Date Type

Triggers a warning message if the operator attempts to create a diary entry on a date that has been defined on ResourceLink as a standard date – for example, bank holidays, shutdown dates. Enter or select the code for the type of standard date standard date for which you want to display a warning.

If the operator attempts to enter an event on the specified standard date, a warning message is displayed.

Acc Privileges

Display only. This part of the screen shows any access privileges the selected operator has to other operator diaries. For example, an operator might be allowed to view other diaries but not make any additions or changes, or might be allowed to add and change diary entries but not delete them.

Diary access privileges for an operator are defined using Maintain Security Profile.

Note: You may find it useful for some operators to be able to access other diaries. For example, a secretary may need to keep track of the whereabouts of other staff within the same department.
