Enables you to set up and maintain the tasks available for use in the system. For each task, you choose the object it maintains (for example, EMPLOYEE), the mode of operation (ADD, CHANGE, LOOKUP), and the screens which comprised the task.

When a task has been defined, it is then available for inclusion on the menus set up for the different types of operator who use the system.

This allows you to define the exact tasks required by your users. These are likely to be a combination of single screen tasks, which carry out specific functions, and multi-screen tasks, which perform more general operations. For example, you could define a task to be used when a new employee joins your organisation. The mode of this task would be ADD, and it would incorporate all of the screens needed to enter a new employee onto the system.

Another task you could set up is one to promote an employee. The mode of this task is CHANGE, and it would incorporate the screens that hold the employee's grade and salary.

To access this window, enter fast path HR98S3.

Selection

Task Name

Enter the name of the required task, or select one by clicking window to display Select Task.

If the task does not exist, a prompt is displayed allowing you to create the new task.

The task ID must contain at least one alphabetic character.

General

Title

Enter a title for the process, which is used to identify the process on menus. Ensure the title is accurate and meaningful to users.

Object

Enter the ID of the object that you want the task to maintain, or select one by clicking WINDOW to display Select Object.

Note: If you are creating a user-defined instructive task for inclusion in a workflow, you must enter MANUAL and then specify the instructive text via the DESCRIPTION button; if you are creating a customised eForm enquiry task, you must enter EFORM and then attach eForms to the task via the EFORMS button.

Tooltip

This field is only enabled for EFORM type objects. Enter a user-defined tooltip that describes the purpose of this task. This tooltip is displayed when you hover over the task name in a menu.

Detail

Folder ID

Click WINDOW to display Select Folder where you can select the folder attached to this task if required. This applies to Quick Input Tab Folders, User-Defined Tab Folders and User-Entry Tab Folders.

Command

This field is only enabled if you selected the System object in the Object field. Enter the full path and name of the application that you want this task to launch, for example, you could enter C:\Windows\notepad.exe to create a task that launches the Microsoft® Notepad.

Mode

Enter the default mode of operation for the task from the following options:

A Add. The initial mode of operation is ADD mode. All of the other modes are selectable.
C Change. The initial mode of operation is CHANGE mode. The only other selectable mode is lookup.
L Lookup. The initial mode of operation is LOOKUP mode. No other modes are selectable.

Browser Tab

Select this check box to open the task in a new browser tab, rather than a new tab within WebView.

Legislation Type

This field is only displayed if this is a multi-legislation type system and the task is in Add mode. Enter the default legislation type for this task, or select one by clicking window to display Country Selection. If you want UK to be the default legislation type, you must select it from the window as [blank] represents the UK legislation type throughout the system. Leave this field blank if you do not want a default legislation type associated with this task.

When adding a new record using a task that has been set up with a default legislation type, Country/Legislation Allocation is not shown and the legislation type automatically defaults according to the task definition. If a default legislation type has not been specified against the task, Country/Legislation Allocation is displayed so you can choose the legislation type.

Selection Screen

This field is only enabled for object types that link to a single screen. Enter the ID of the associated screen, or select one by clicking WINDOW to display Select Screen. If the object type can link to multiple screens, you can select one or more screens by clicking the Multiple Screens button.

Diary

Enter Y to include the diary as part of the task. When the operator selects an employee with a diary entry held against their record for that day, the system automatically takes them straight into the diary screen before going into the task itself.

Suppress Audit

Enter Y to suppress audit functions for this task.

Suppress Events

Enter Y to suppress event triggers associated with this task.

Lookup Task

Enter the ID of a User Defined Tab Folder (UDTF) Task to be used as a Lookup task, or click window to open Select Task. The UDTF Task selected will be used to allow read-only access to records currently locked to another Operator.

Note: This field is only available for tasks associated with the APPLICANT, EMPLOYEE, CANDIDATE, TUTOR and MEMBER task objects.

Report ID

This field is not currently used in ResourceLink.

Buttons

Multiple Screens

Click this button to display Maintain Task Screen, where you can specify the screens that comprise the task. All screens must update the same object.

Standard Letters

Click this button to display Attach Task Standard Letters, where you can specify any standard letters that you want to be generated when a user clicks COMMIT to exit the task.

Emails

Click this button to display Maintain Task Emails, where can specify any emails that you want to be generated when a user clicks COMMIT to exit the task.

Parameters

This button is only enabled for Schedule type objects. Click this button to display Scheduled Task Parameters, where you can specify the parameters that can be defined for the scheduled task.

Description

This button is only enabled for MANUAL type objects. Click this button to display Maintain Web Notes, where you can enter instructive text, which is displayed when this task is reached in a workflow.

eForms

This button is only enabled for EFORM type objects. Click this button to display Maintain Task eForms , where you can attach one or more eForms to this task.
