The FIND task enables you to search for any person that has a record on your system. The person concerned need not be an employee and matching results may include a combination of employees, applicants, candidates etc.

Enter criteria for the person for whom you are searching. If you do not know what to enter for any field you can press RETURN to leave it blank, though you must make an entry in at least one field.

General

Surname

Enter all or part of the person’s surname. For example, S finds all those with a surname beginning with S; SM finds all those with a surname beginning with SM; SMITH finds all those with the surname of SMITH.

To perform a sounds-like search, precede the surname with ! (exclamation mark). For example, !SMITH finds surnames such as SMITH, SMITHERS and SMYTHE.

To search all surnames, enter * (asterisk). You can then refine the search using the other fields.

Initials

Enter one or more of the person’s initials without spaces or punctuation. For example, S finds all those with S as their first initial.

To perform a positional search, precede the initial with % (percentage sign). For example %P finds all those with P contained within their initials, such as AP and PA.

If you enter initials, then you must also make an entry in the Surname field.

Forename

Enter all or part of the person’s first name.

National Identity Number

Note: The name of this field changes depending on the setting of the MISC > COUNTRY > DEFAULT system parameter. If this system parameter is blank, this field defaults to Nat. Ins. Number for the UK.

Enter one of the following national identity numbers, depending on the person's legislation type:

Sex

Enter F for women only or M for men only. If you make an entry in this field, then you must also make an entry in the Surname field.

Date of Birth

Enter the person’s date of birth.

Enter all or part of the person’s postcode.

This field is only enabled if you are searching for an employee. Enter Y for current employees only, N for non-current employees only, A for all employees, L for leavers only, or D for employees who have been deleted but whose basic details still remain in the system. The default for this field can be specified in the Current Employee Search Type field which is accessed via the 'User Control' option, followed by the 'User Pay/Personnel' option in System Control Maintenance.
