Pay Element Balance Detail
Enables you to enter balance information for a pay element.
Note: You can only access selected employee fields below if the Accumulating field in Processing Control Flags is blank or set to N for this pay element.
Employees Balance
Accumulating Balance
If this pay element is set up to have an accumulating balance, enter the employee’s accumulating balance amount for this pay element. This amount is then automatically updated each pay run.
Reducing Balance
If this pay element is set up to have a reducing balance, enter the employee’s reducing balance amount in this field. This is reduced each pay period by the value held in the Amount field of the pay element. When the balance reaches zero, this pay element is automatically removed from this screen. For example, for employee loans, you would enter the total amount of the loan.
Number of Periods
Displays the number of periods that this pay element has been paid. If the Maximum Periods field of the Miscellaneous Details window of the Pay Element definition has been populated, this pay element will cease once that number has been reached. The value of each periods' deduction will be derived by dividing the reducing balance by the number of periods remaining.
Calc Arrears Balance
If the Calculated Arrears Balance flag is set, and the system could not take all or part of a deduction in a previous period, this field shows the remaining arrears, as calculated by the system. You can override the calculated balance if necessary. For example, if the employee should have been paying off arrears in past pay periods, you could catch up on the missed payments by increasing the balance by the appropriate amount.
Calc Arrears Amount
This field works in conjunction with the Calculated Arrears Balance field and displays the amount that is due to be deducted from the employee’s earnings in the next pay run. The system uses the same figure as that calculated for the arrears balance, but you can override this if necessary. For example, if the system shows the amount as £100, you could alter it to £50. In this case, the system would deduct £50 in each of the following two pay runs to reclaim the arrears.

If this pay element is set up to have an accumulating balance and if there is an employer’s portion to the pay element, enter the employer’s accumulating balance amount for this pay element. This amount is then automatically updated each pay run.
Reducing Balance
If this pay element is set up to have a reducing balance, enter the employer's reducing balance amount in this field. This is reduced each pay period by the value held in the Amount field of the pay element. When the balance reaches zero, this pay element is automatically removed from this screen. For example, for employer's loans, you would enter the total amount of the loan.
