Enables you to maintain which field inserts are included in the standard letter. There must be at least two insert fields in a standard letter. The field inserts on the left-hand side are the available field inserts and the ones shown on the right-hand side are the ones that have been included.

Note: You can add fields that are not held on ResourceLink by creating them via Maintain Pop-Up Fields.

Note: You can set case, date and time formats for fields via Standard Letter Insert Formatting.

Available Inserts

When you first access this window for a new Employee letter, the insert LETTER_REF is displayed. This insert is generated by the system, as it is assumed that all letters require a reference.

You can select the field inserts to include as follows:

Once you have located the required insert, right-click and select ‘Add Insert’. The insert is added and is displayed on the right-hand side.

If a second language has been specified for the standard letter, an additional 'Add Insert xx' option is available when you right-click (where xx is the code of the second language). Selecting this option adds the insert in the second language; the insert is shown with a suffix of _xx for the language code to distinguish between different language inserts. An insert must only exist once in a standard letter, although you can include the same insert in English and the second language.

Note: You can remove an insert by right-clicking and selecting ‘Remove Insert’.

Right-click on an insert and select ‘Properties’ to display Selected Insert Details where you can specify the WP field name and configure other details.

Download DAT

Click this button when you have finished specifying fields for the standard letter to download the selected fields into a file, which is the data source for the letter. You are prompted to open or save the letter as required.

Cond Inserts

This button is only displayed if you are using the Web View module or if you are defining a MyView letter. Click this button to display Standard Letters - Conditional Inserts, where you can define conditional inserts. Conditional inserts allow you to define text to be inserted into a letter depending on the value of a letter insert.
