Absence Type Grouping
Enables you to create an absence group that contains multiple absence types. Against each absence type included in the group, you should specify a priority, that is, the order in which entitlement is deducted from the absence types.
For example, you may have an absence group called HOLIDAY, which consists of absence types 'Time off in Lieu' and 'Annual Leave'. When an employee books holiday, they want to use any entitlement they have against 'Time Off in Lieu' (Priority 1), before they use their 'Annual Leave' (Priority 2) entitlement.
Note: You should ensure that any absence groups intended for use in the Time Management module do not include absence types that require Planned Work Time (PWT) or have an entitlement type of PAYSSP, record (unless specified as a Lieu type) or ROLLBACK.
Selection
Absence Group
Enter the ID of the absence group that you would like to amend, or select one from the drop-down list.
If the absence group does not exist, a prompt is displayed allowing you to create the new group.
Note: You cannot use a code for an absence group that has already been used for an absence type.
General
Short / Long Description
Enter the short and long descriptions of the absence group.
Display on Selection
Enter Y to display Create Post Absence Periods when entering an absence, which enables you to view details of the number of entitlement units taken against each absence type / post combination in the absence group.
Short Code
This field is only displayed when the Enable Absence Grouping check box in Time Management Parameters is selected. Enter a unique absence type code (up to three characters) to represent this absence group in the Time Management module. In addition to the code being unique, you cannot enter an absence type code that is the same as an absence sub-type code or an attendance code created in Attendance Type Definition.
Paging Area
Absence Type
Enter the code of the absence type that you would like to include in the absence group, or select one from the drop-down list. If the Short Code field is populated, all absence types added to the absence group must also have a unique absence type code.
Description
Display only. The long description of the selected absence type.
Priority
Enter the priority of this absence type, that is, the order in which entitlement is deducted from the absence types.
Button
Time Format
This button is only enabled if the Short Code field is populated. Click this button to display Absence Group Time Format, where you can specify the time formats permitted in Time Management for this absence group.
