Doc Storage Parameters
Enables you to define the system parameters that control the Doc Storage functionality.
Note: Doc Storage must be licensed in order that you can access this window.
To access this window, enter fast path HR97S8 and select User Control > Web Applications > Doc Storage.
Doc Storage Limits
Max File Upload Size Limit
Enter the maximum size of an individual file that can be uploaded, up to a maximum of 999 MB.
Capacity Warning Limit
Enter the percentage of the maximum total storage capacity per object (E.g. the applicant object or employee object) at which a warning message will be displayed to the user regarding storage limits.
Max System Storage Size Limit
Enter the maximum total system storage capacity using two decimal places if required, up to a maximum of 999999 GB.
Upload Parameters
Restrict Duplicate Filenames
Select this check box to prevent documents being uploaded against an object if they have the same filename as an existing document. Documents with the same filename but different file extensions are treated as having different filenames.
Within category only
This check box is only enabled when the Restrict Duplicate Filenames check box is selected. Select this check box to apply the above filename check within a category only, that is, documents with the same filename can exist in multiple categories. Leave this check box blank to apply the above filename check across all categories.
Display Parameters
Documents To Sort By
Select the method of sorting the documents in the Doc Storage module from the drop down list. Available options are to sort by Name or by Date last updated.
Sort Order By
Select the sort order from the drop down list. Available options are Ascending or Descending.
Automatic Deletion
Enable document auto-deletion
Select this check box if documents can be deleted automatically from Doc Storage. Documents can then be deleted using the Document Auto-Delete.
Months before deletion (leavers)
Enter the number of months that leaver's documents should be retained before they are automatically deleted. Enter 99 if leaver's documents should never be deleted.
Months before deletion (default)
Enter the default number of months that documents (other than leaver's) should be retained before they are automatically deleted. This retention period is used unless a category specific retention period has been defined. Enter 99 if documents should never be deleted by default.
Months before deletion (audit)
Enter the number of months that document deletion audit data should be retained before being automatically deleted. Enter 99 if document deletion audit data should never be deleted.
Include filenames in deletion audit
Select this check box if document filenames should be included in the document deletion audit data.
Months before deletion (Profile Photos)
Enter the number of months that Profile photos should be retained before being automatically deleted. Enter 99 if Profile photos should never be deleted.
Note: Profile photos of Leavers will be automatically deleted, along with other Leavers' information, if the Months before deletion (leavers) value is less than the Months before deletion (Profile Photos) value.
Buttons
File Types
Click this button to display Document File Types, where you can maintain the file types that can be uploaded, and associate a MIME file type.
MIME Definition
Click this button to display Doc Storage MIME Definitions, where you can maintain descriptions against the MIME file types.
Categories
Click this button to display Doc Storage Categories, where you can attach a narrative category to Doc Storage. This allows you to categorise documents when you upload them by selecting a code from the attached narrative category.
Exclusions
Click this button to display Document Auto-Deletion Excluded Objects, where you can specify selected objects that should be excluded from the auto-deletion process. Documents against excluded objects are always retained during the auto-deletion process regardless of the document age.
Disc Capacity
Click this button to display Doc Storage Disc Capacity, where you can view an overview of the document storage capacity in use and remaining.
Image Resizing
Click this button to display Doc Storage Image Resizing Parameters, where you can configure the automatic resizing of images uploaded to Doc Storage.
