Process Definition
Enables you to create and maintain processes and their content. The following process templates are available:
- TRANSFERS: Transfers - multiple forms.
- MYTJNRS: Starters - multiple forms.
- MYTCHGS: Changes - multiple forms.
- MYTLVRS: Leavers - multiple forms.
- MYTVIEW - View-Only - multiple forms.
Multiple Forms
Each process contains a standard set of forms depending on the template selected. You can specify which forms are displayed to customise a process, as well as specify which fields are displayed within a form to ensure the process you are creating can capture the correct information required.
Note: You can amend the descriptions of the forms and fields displayed in MyView.
There are four types of form available:
- List forms - contains a list of details similar to a paging area in ResourceLink, for example, used for asset details where more than one asset may be listed. You can then edit the selected line, which reveals the details element of the form, as described below.
- Details forms - contains a series of fields which should be completed, for example, used for equal opportunity details.
- Letters form - enables you to associate MyView letters (server side letters) with the selected process. The Letters form is not available in processes that use the CVP, TRANSFERS or MYTVIEW process templates.
- eForms form - enables you to associate eForms with the selected process. The eForms form is not available in processes that use the CVP, TRANSFERS or MYTVIEW process templates.
Single Forms
Each process contains a single form which has multiple sections. You can specify which sections are displayed, and which fields within a section are displayed to customise the process.
Note: Some forms and fields within a process template are mandatory and cannot be excluded when defining a process.
Note: You cannot change the order of the forms and fields presented within a template.

Selection
Process ID
Enter the ID of the process that you want to maintain or select an existing ID from the drop-down list.
If the process does not exist, a prompt is displayed allowing you to create the new process.Create Process From Template is displayed where you can select the process template on which to base the new process.
General
Template ID
Display only. The name of the process template on which the process is based.
Short Description
Enter a short description of the process.
Long Description
Enter a long description of the process.
Title
Enter the title of the process.
Create Date
Enter the date on which the process was created. This defaults to today's date.
Checklist
Select the checklist you want to associate with this process from the drop-down list, if required.
Authorisation Type
Select the Authorisation condition type from the drop-down list. The condition types are set up in the PRCOND narrative category and relate to conditions that have been set up for an event.
Display Alerts
Select this check box to make this process available in the Alerts module. You can then maintain the process form alerts via Alert Maintenance.
Paging Area
Form Title
Enter the title of the form.
Instructions
Click window to display Maintain Web Notes, where you can enter instructions as free form text. This is displayed as help links for this process form.
Hidden
Enter Y to indicate that this form is hidden, that is, this form is not available within this process in MyView.
List
Click window to display Maintain List Fields where you can maintain the field names and help text for the list type forms.
Details / Forms
Click window to display one of the following windows, depending on the form type:
- Maintain Fields (all forms bar 'Letters') - enables you to maintain display details for the fields included within a form if this is a multiple form type process. Alternatively, you can maintain display details for the sections included within the form and the corresponding fields if this is a single form type process.
- View Detail Fields - (MyTeam selection forms) - enables you to view the display details that have been specified via Selection Screen Maintenance for each field in the form.
- Standard Letter Selection (Letter forms only) - enables you to associate MyView letters with the selected process.
- Maintain eForm List (eForm forms only) - enables you to assign eForms to the selected process.

Confirmation
Click this button to display Maintain Web Notes, where you can enter confirmation text as free form text with embedded HTML tags. This is displayed once a process is submitted and successfully transmitted to ResourceLink.
Errors Msg
Click this button to display Maintain Web Notes, where you can enter informative text as free form text with embedded HTML tags. This is displayed when a process is submitted that is not successfully transmitted to ResourceLink.
Narratives
Click this button to display Maintain Process Narrative Categories, where you can specify narrative categories for which you want to limit the narrative codes available for selection in this process.
Instructions
Click this button to display Maintain Web Notes, where you can enter instructions as free form text with embedded HTML tags. This is displayed when the process form is accessed via MyView.
