Maintain Diary
Enables you to enter, update and view events in the system diary. The screen can show both operator and person diary events, either separately or overlaid, depending on how it has been set up.
- To select information for the diary display - Click the Filters button beneath the display and use the Diary Filter Selection window.
- To add an appointment to the diary - Click the Add Entry button beneath the diary display and then complete the available fields.
- To delete an appointment from the diary - Select the appointment by clicking the appropriate day in the calendar, and then clicking the appointment in the diary display. Then click DELETE.
- Alternatively, you can click the Other Detail button, and then flag the appointment for deletion in Additional Event Details. This lets you set the entry for deletion on a specified day via Diary Batch Deletion.
General
CALENDAR
A monthly calendar is displayed in the upper left of the screen. Initially, the current month is displayed, with the current date highlighted in yellow. Other dates with diary entries are highlighted in yellow, featuring a red diamond border to the date numerals. To select a different day, click it in the calendar. You can move to a different month by clicking the yellow triangle buttons on either side of the month/year.
DIARY
The diary area is displayed in the upper right of the screen. It displays diary entries in time bands for the selected day. Click the yellow scroll buttons above and below the time column to display times out with the standard 0800–1800 range.
Filters
Displays Diary Filter Selection, where you can choose to filter diary data into or out of the display.
Add Entry
Add an appointment to the diary. An object field is displayed above the Start Date field, enabling you to identify the object record for which you are creating an appointment. The type of object is selected via Diary Filter Selection.
Start Date
Date of the appointment. The default is the currently selected day.
Start Time
Enter the time when the appointment is due to start. Your entry must be in 24-hour clock format.
Priority
Enter a priority code to identify the importance of the diary entry. The priority code identifies the importance of the diary entry – for example, 1 for high priority, 2 for medium priority, 3 for low priority, and so on. Alternatively, you can use characters – for example, A, B, C and so on.
This field defaults to the value (if any) defined in Diary Profile.
End Time
Enter the time when the appointment is scheduled to end. If you are not sure, this field can be left blank. Any entry must be in 24-hour clock format.
Event Code
Enter or select an event code to identify the type of appointment – for example, meeting, seminar, interview. The codes available for selection are set up in the DIARYC narrative category. This field can be left empty if required.
This field defaults to the value (if any) defined in Diary Profile.
Event Text
The description of the code selected in the previous field is displayed. You can override this or append additional text.
Buttons
Other Detail
Click this button to display Additional Event Details, where you can enter additional information about the selected appointment, or flag it for deletion if required.
User Groups
Click this button to display Diary User Groups, where you can choose the user groups whose members are to be allowed to view the selected event. The available user groups are specified in your user group profile.
Repeat
Click this button to display Repeat Diary Entries. Use this if the event recurs periodically – for example, a meeting that takes place every Wednesday morning.
Event Notes
Click this button to display Maintain Note Detail, where you can enter any notes or comments you want to record.
