Employee NMW Details
Enables you to include an employee in the National Minimum Wage (NMW) check and select the calculation type.
This window is only displayed for employees with a UK or IE legislation type.
To access this window, enter fast path HREMPALL and select the employee, then select Basic Pay Details > NMW Details in the navigation panel.
Note: The fields in this window can be populated with a CSV file via Load Ancillary Data from Spreadsheet or the HR Interface (HRI).
NMW Details
Include in NMW
Enter Y to include the employee in the NMW check. Enter N to exclude the employee from the NMW check.
Leaving this field blank will result in the system finding the default setting in Control Group NMW Details. Entering Y will enable National Minimum Wage (NMW)/National Living Wage (NLW) Check Window to be viewed.
Current Period Calculation Type
Display only. The calculation type applied to the current period.
You must set the calculation type effective dates in NMW Calculation Type Effective Dates if Y is entered in the Include in NMW field.
Note: If calculation type effective date records are set in NMW Calculation Type Effective Dates, then the calculation types are sourced from the employee level entries from this time forward and any records for the control group will be ignored. It is not possible to source calculation type codes from both the control group and employee level at the same time. The employee level becomes the master source once calculation type effective date records exist at that level.
Override TT Weeks
Select this check box to override the Term Time Weeks Per Year value defined in Control Group NMW Details. This indicates that the employee is processed as a term time worker, but with a new override to the weeks per year value.
Term Time Wks Per year
This field is mandatory when the Override TT Weeks check box is selected.
Enter the number of working weeks for the salaried worker if they do not work the full 52 weeks each year and do not receive their salary in equal instalments. The maximum value for this field is 52.143. This field will not be applicable to all salaried workers. Leaving this field blank will result in the system using the default setting in Statutory Detail.
Note: All following fields are only displayed for UK legislation types and are only applicable to salaried workers of all pay frequencies. To use the fields, individual employees must be identified as salaried in the NMW Calc Type field or in Control Group NMW Details.
Calc Year Start Date
This field is optional.
Enter the calculation start date for salaried workers. The field format is DDMM. The new calculation year anniversary date will apply when the corresponding pay period is processed. Entering the date here will override the equivalent setting defined in Control Group NMW Details.
Annual Hours Override
This field is optional.
Enter the employee's annual hours threshold to override the employee's Contract Hours value defined in Employee Post Holding Details at the time of NMW validation processing. The field format is 9999.99. If this field is not populated, then the annual hours are derived based on the Contract Hours value at the time of NMW validation processing.
Exempt from Automatic Year Changes
This check box is optional.
Employers must give at least 3 months’ written notice to the employee regarding their new calculation year. The employer could receive a written objection from the employee regarding changing their calculation year, meaning that they can’t be aligned with the company wide calculation year parameters defined in National Minimum Wage/Living Wage Parameters or in Control Group NMW Details. Select this check box to exclude the employee from such calculations.
This only applies to employees identified as salaried for NMW purposes.
Period Hours Calculation
This field is optional.
Enter the source of the hours to be used in the minimum wage calculation. This only applies to employees identified as salaried or unmeasured for NMW purposes.
For salaried employees, you can enter C (contract hours) or W (work pattern). The default value is C. Entering a value in this field will override the Period Hours Calculation fields in National Minimum Wage/Living Wage Parameters and Control Group NMW Details.
For unmeasured employees, you can enter C (contract hours) or D (daily average agreement). Leave this field blank to record actual hours worked using temporary pay elements. Entering a value in this field will override the Period Hours Calculation field in Control Group NMW Details but not in National Minimum Wage/Living Wage Parameters.
Current Year Cumulative Hours
Note: All following fields are only displayed for UK legislation types and are only applicable to salaried workers of all pay frequencies. To view the fields, individual employees must be identified as salaried in the NMW Calc Type field or in Control Group NMW Details.
Annual Working Hours
Display only. The most recent annual working hours on record for the employee.
Hours Worked YTD
Display only. The hours worked year-to-date value from the most recent year record.
Annual Hours Variance
Display only. The number of hours the employee is above or below (i.e. positive or negative) the annual hours threshold in the most recent NMW calculation year.
