Employee Spinal Grade History
Enables you to maintain the pay grade, and view the history of pay grades linked to the current employee.
To access this window, enter fast path HREMPALL, select Current Post Holding from the navigation panel, window in to the Details field, go to the Grade tab and window in to the Pay Grade field.
Paging Area
Start Date
Enter the date when the employee started or is due to start on this grade.
End Date
Enter the date after which this grade is no longer effective for this employee.
Grade
Enables you to override the employee’s grade. The current grade can be determined by the job or post, or can be a personal grade not related to the job or post. By making an entry here you create a personal grade. Enter the appropriate grade code for this employee, or click WINDOW to display Grade Selection.
Note: Certain combinations of post and personal grade usage levels stop you changing the grade. See Grade Usage Levels.
Change Reason
Enter a reason to explain why the change to this grade was made, or click WINDOW to display Dependency Selection where you can select a valid reason.
Change Source
Display only. One of the following codes indicating the reason for the grade change:
PAYAWD | Pay Award |
POSTPL | Post Placement |
INCRUN | Incremental Run |
GRDHIS | Grade History |
If you have just placed the employee onto this grade, the code POSTPL (post placement) is displayed.
Grade Source
Display only. One of the following codes indicating the source from which the grade originated:
POSTGD | Post Grade |
PERGRD | Personal Grade |
JOBGRD | Job Grade |
Point
Spinal point. This field either enables you to override the current spinal point or maintain responsibility points, depending on how the employee’s salary calculation is set up on the system.
Depending on the type of salary calculation, clicking WINDOW displays:
- A list of the spinal points available to override the existing one.
- Employee Responsibility Points if responsibilities have been linked to the grade (as in teachers’ salary calculation).
Notes
Click window to display Maintain Note Detail, where you can enter any notes or comments you want to record.
Point Rate
The hourly rate for this spinal point. If an annual amount is attached to the spinal point, the point rate is calculated from this annual amount.
Enh Rate
The enhanced hourly rate, calculated from the annual amount and the total enhancements to be added. This rate is used for payment of overtime hours worked.
Point Amount
The annual amount for this spinal point. If an hourly rate is attached to the spinal point, the point amount is calculated from this hourly rate. If the spinal column from which this point amount is derived has an alternate currency, the point amount is displayed in the alternate currency.
Note: You can use the Override fields described below to override the incremental step defined for the employee. The incremental step is defined via the Step field on the Grade Spinal Column History screen. This specifies the number of spinal points by which the salary of employees is increased on each increment run.
Override Date
Enter the date on which this employee will have the next increment.
Override Reason
Enter a reason to explain why the incremental step (recorded against the grade) should be overridden, or click WINDOW. Typical examples are: Appraisal Action, Disciplinary Action. The options are set up in the OVRRDE narrative category.
Override Step
Records the number of spinal points employees on this grade should be increased by on each increment run.
Carry Forward
If you want to carry this information forward so that the employee continues to get a different increment to the standard (as recorded on the increment parameter set), enter Y. If this increment is just a one-off, enter N.
Bar Point
Displays the Employee Grade Bar Point History window where you can remove the bar point for the current employee.
Note: A bar point prevents an employee’s salary progressing any further along the spinal column without manual intervention. You can set bar points via the Bar Point field on the Grade Spinal Column History screen.
Teacher
For teaching posts, additional payments (enhancements) might be required to make up the total pay. These enhancements can be flagged for inclusion in the calculation of the enhanced rate.
This field is only accessible if the grade is specified as applying to teaching posts. Click WINDOW to display Employee Enhancement - Detail, which allows you to enter details of teachers’ pay enhancements.
Current Bar Point
Display only. Shows the current bar point, defined via Grade Spinal Column History.
