Email Parameters
Enables you to define email parameters, such as the email templates to use to send for password notification, to confirm registration, and to confirm that the application has been submitted. You can also specify whether a file can be attached to the application confirmation email specified in the Application field, and specify data protection notification parameters.
Note: If you change an email template that is specified as a Web Recruitment parameter in this window, or any other window in System Control, you must export the data to Web Recruitment for the change to take effect.
General Email Templates
Password
Enter the ID of the email that you want to send to the applicant to notify them of their password, or select one from the drop-down list. This email template is used when an applicant requests password details via the Forgotten your details? link on the Web Recruitment website. The registration email template must contain the PASSWORD variable.
Registration
Enter the ID of the email that you want to send to the applicant to confirm registration, or select one from the drop-down list. The registration email template must contain the PASSWORD variable.
Application
Enter the ID of the email that you want to send to the applicant to confirm that their application has been submitted, or select one from the drop-down list.
Speculative Application
Enter the ID of the email that you want to send to the applicant to confirm that their speculative application has been submitted, or select one from the drop-down list.
Username
Enter the ID of the email that you want to send to the applicant to notify them of their username, or select one from the drop-down list. This email template is used when an applicant requests username details via the Forgotten your details? link on the Web Recruitment website. The registration email template must contain the USERNAME variable.
Allow Attachment
Select this check box to allow a file to be attached to the application confirmation email specified in the Application field.
Saved Not Submitted Application
Enter the ID of the email that you want to send to the applicant to remind them that their application has been saved but not submitted, or select one from the drop-down list.
WR Withdrawn Application Templates
Applicant
Enter the ID of the email that you want to send to the applicant to confirm they have withdrawn their application from Web Recruitment, or select one from the drop-down list.
Note: You can view the reasons why applicants withdrew their applications via Withdraw Reasons Statistics and view details of the applicants who withdrew their applications via Withdrawn Applications.
Vacancy Contact
Enter the ID of the email that you want to send to the vacancy contact when an applicant has withdrawn their application from Web Recruitment, or select one from the drop-down list.
RL Withdrawn Application Templates
Applicant
Enter the ID of the email that you want to send to the applicant when the application status is updated to withdrawn in ResourceLink, or select one from the drop-down list.
Vacancy Contact
Enter the ID of the email that you want to send to the vacancy contact when the application status is updated to withdrawn in ResourceLink, or select one from the drop-down list.
Withdrawn Vacancy Templates
Applicant
Enter the ID of the email that you want to send to applicants affected when a vacancy is withdrawn, or select one from the drop-down list.
Vacancy Contact
Enter the ID of the email that you want to send to the vacancy contact when a vacancy is withdrawn, or select one from the drop-down list.
Online Interview Booking Template
Applicant
Enter the ID of the email that you want to send to applicants when interview time slots are available for booking, or select one from the drop-down list.
Deleted Account Templates
Note: An applicant does not receive an email if they delete their account.
Vacancy Contact
Enter the ID of the email that you want to send to the vacancy contact when an applicant deletes their account, or select one from the drop-down list.
Administrator
Enter the ID of the email that you want to send to the recruitment administrator when an applicant deletes their account, or select one from the drop-down list.
Data Protection
Applicant Template
Enter the ID of the email that you want to send to the applicant to request continued permission to hold data, or select one from the drop-down list.
Notify Period
Enter the number of days after which an email is sent to users whose accounts have been inactive, to request permission to store data for a further period.
Note: You can initiate sending data protection emails via Data Protection Email Request.
Remove Period
Enter the number of days after which data is deleted for accounts that have remained inactive for the duration of the remove period, which follows on from the notify period. For example, if the notify period is 150 days, and the remove period is 30 days, a data protection email is sent after 150 days, and if the user’s account remains inactive for a further 30 days, the data is deleted.
Note: You can remove applicant and application data via Remove Applicant / Application Data.
App Closing Date Template
Applicant
Enter the ID of the email that you want to send to the applicant to inform them that their open application has been closed (and the status changed to Application Closed) because the application closing date has been reached, or select one from the drop-down list.
Closed Vacancy Template
Applicant
Enter the ID of the email that you want to send to the applicant when a vacancy is closed, or select one from the drop-down list.
Buttons
Email Addresses
Click this button to display Email Addresses, where you can maintain email addresses used for Web Recruitment related emails.
Notifications
Click this button to display Email Notifications, where you can define the email notifications that are sent to an operator who is processing applications for a vacancy.
