Grade Detail
Enables you to set up and maintain basic details for a grade.
To access this window, enter fast path HRGRADE.
General
Short Desc, Long Desc
Enter abbreviated and full descriptions respectively to represent the grade throughout the system.
Payslip Language Descs
Click window to display Foreign Languages, where you can specify descriptions for the grade in other languages, which can be used on payslips.
Start Date
Enter the date from which this grade is effective.
Obsolete Date
Enter the date on which this grade becomes obsolete.
Grade Group
Enter the code of the group to which this grade belongs for reporting purposes, or select one from the drop-down list. The options are set up in the GRDGRP narrative category.
Grade Sort Code
Enter a number between 1 and 999 to indicate the importance of this grade in relation to other grades on the system for reporting purposes. If a report is sorted into descending order using this field, the grades are displayed in order of seniority, with the most senior grade at the top.
Categories
Click window to display Grade Categories, where you can link payment categories to the grade.
Security Level
Enter a number between 1 and 9 to specify the security level that applies to this grade, where 9 is the highest security level. The security level specified is used to restrict operators from accessing employees on specific grades. The highest security level an operator can access must be specified in Security Profiles to restrict their access.
For example, if a HR clerk with security level of 6 tries to access the details of an employee on grade 7 or higher, access is denied.
Suppress No Rate Calculation Message
Enter a code to determine if the No Rate Calculation message will be suppressed when adjusting grades in the Employee Grade History and Employee Spinal Grade History windows.
- When set to S, the message will be suppressed for Spinal Grades.
- When set to N, the message will be suppressed for Non-Spinal Grades.
- When set to B, the message will be suppressed for Both types of Grades.
- When blank, the messages will be not be supressed.
Indicators
Teaching Indicator
Enter Y if this grade applies to a teaching position. If this is set to Y, you can access Employee Enhancement - Detail and enter details of teachers' pay enhancements.
Note: The Teaching Indicator and Hay Indicator fields are mutually exclusive, and you cannot enter the Hay Indicator field once the Teaching Indicator field is set to Y.
Hay Indicator
Click WINDOW to display Maintain Hay Grade History, where you can enter Hay grade information if this grade is a Hay grade.
Salary Indicator
This field is no longer used.
HESA Grade
Enter Y if the grade is HESA returnable, A if the grade is HESA returnable and is used for Atypical contracts or N if the grade is not HESA returnable. HESA returnable grades are included in HESA staff returns. The following field is only enabled for HESA returnable grades.
National Pay Framework Ind.
Enter Y if the spinal points on the grade are from the National Pay Framework Salary Spine, M if the spinal points are from the National Pay Framework Salary Spine but have been modified, or N if the spinal points are not from the National Pay Framework Salary Spine.
Note: The setting of this field also determines what salary information is included in the HESA Contract record. A setting of Y includes spinal points (unless they are greater than 51), N includes salary values and M includes both spinal points and salary values.
Regional Pay Range
Enter the code of the default regional pay range that applies to this teaching grade, or select one from the drop-down list. The options are set up in the SWCRPS narrative category.
Create Spinal for New Con Hrs
Enter Y if a corresponding spinal point amount record should be automatically created when a new contract hours record is added or N to prevent the automatic creation of spinal point amount records. A new contract hours record can be added via Employee Contract Hours, the HR Interface or MyView. Leave blank to use the system level setting specified in the Create Spinal for New Con Hrs check box, which is accessed via the 'User Control' option, followed by the 'User Pay/Personnel' option in System Control Maintenance.
Buttons
User Fields
Click this button to display Simple User-Defined Field Data if user-defined fields have been set up by your system administrator. These are extra fields used to record additional information that are specific to your organisation.
Notes
Click this button to display Maintain Note Detail, where you can enter any notes or comments you want to record.
MyTeam Params
Click this button to display MyTeam Grade Parameters, where you can maintain grade related parameters that are used in MyTeam.
