Enables you to enter a range of general details about a vacancy.

Note: Attachments can be uploaded into Doc Storage against a vacancy for use in Web Recruitment, Agency Access and Internal Recruitment via the 'DocLink' option on the Tools menu. You should ensure the correct categorisation is used as this determines where the attachment is available.

General

Short, Long Desc

Enter a short and long description of the vacancy.

Obsolete Date

Enter the date on which this vacancy becomes obsolete.

Published / Withdrawn

Display only. When the vacancy is exported to Web Recruitment, ‘Published’ is displayed along with the published date. When the vacancy is withdrawn, ‘Withdrawn’ is displayed along with the withdrawn date.

Vacancy Status

Enter the ID of the initial status applicable to the vacancy, or click WINDOW to display Vacancy Status History, where you can maintain a history of vacancy statuses.

Vacancy Type

Select the nature of the vacancy from the drop-down list. The options are set up in the VACTYP narrative category.

Post

A post is a specific occurrence of a job. This field can be used to specify the post for which the vacancy is required, for example, ‘Director (Southern Area)’ or ‘Head Receptionist (Bristol Office)’. Enter a post number of click window to display Post Selection.

Note: If the post being attached to the vacancy has employment checks defined, Employment Checks is displayed listing the associated checks provided the post employment check is effective as of the vacancy creation date.

Note: If the post being attached to the vacancy has Background Checking check groups defined, Background Checking View Check Groups is displayed listing the associated check groups provided the check group is effective as of the vacancy creation date.

Job, Grade, Location

The way these fields work depend on whether you made a selection in the Post field.

Status Code Set

Enter the set of status codes to be used when assigning a status during the processing of this vacancy or select one by clicking window to display Status Set Selection.

Status Code

Enter the status code of the stage at which the applicant(s) will be first displayed to the recruitment manager in the MyView Manager Recruitment module or click window to open Status Selection allowing you to select the status code.

Cost Centre Code

Enter the code of the cost centre to which the costs associated with this vacancy are to be allocated or select one by clicking window to display Cost Centre Selection.

Note: You can enter a new cost code providing validation has been switched off, or the cost code passes validation.

Security ID

Enter the security ID associated with the selected vacancy, or select one by clicking window to display Security ID Selection. The security ID entered here limits operator access depending on the security IDs specified at either operator level or in their security profile. If this field is blank, all operators can access this vacancy.

Note: The security ID defaults to the default security ID specified at either operator level or in your security profile, when creating a vacancy. The security ID specified at operator level is used first if it is available.

Responsible Person

Enter the name or job title of the person who is responsible for this vacancy.

Manager

If the Multiple Managers check box in Manager Recruitment Parameters is blank, enter the employee number of the manager responsible for this vacancy, or select one by clicking window to display Employee Search.

If the Multiple Managers check box in Manager Recruitment Parameters is selected, click window to display Multiple Manager Access, where you can specify multiple managers against the vacancy. The ID of the Primary manager is then displayed in this field.

Group

Enter the vacancy group, or select one from the drop-down list. The options are set up in the VACGRP narrative category.

Date Set Up

Enter the date on which this vacancy was first created.

Other Dates

Click this button to display Vacancy Dates where you can view and maintain dates associated with the vacancy.

User Fields

Click this button to display Simple User-Defined Field Data if user-defined fields have been set up by your system administrator. These are extra fields used to record additional information that are specific to your organisation.

Notes

Click this button to display Maintain Note Detail, where you can enter any notes or comments you want to record.

FTE

Click this button to display Vacancy FTE, where you can enter the FTE details for the vacancy.

Contact

Click this button to display Vacancy Contact Details, where you can enter contact details for the vacancy.

Web Recruitment

Click this button to display Web Recruitment Vacancy Details, where you can maintain vacancy details that are specific to Web Recruitment, including attaching application forms to the vacancy.

Benefits

Click this button to display Employment Benefits, where you can view the employment benefits associated with the vacancy and specify the benefit values.

Feedback Forms

Click this button to display Vacancy Manager Feedback Forms, where you can attach feedback forms to the vacancy for internal and external applicants.
