Diaries
The diary facility works in a similar way to a traditional diary, in that it enables you to enter appointments against specific dates. It has the added advantage of reminding you (on the actual day of the event, or a few days before), that you are due to attend an appointment or carry out an action.
You can either enter your own personal (operator) diary events or events that relate to persons recorded on the system. In addition, the system can be set up to automatically generate diary entries for certain types of event. For information about setting up automatic diary entries, see System Events.
Using Diaries
Before using diaries, each operator must set up personal preferences for diary operation using the Diary Profile option. In addition, any standard diary events should be set up as narrative codes in the DIARYC narrative category.
You maintain and view diaries on the Maintain Diary screen. This screen can be set up as a task linked to operators, employees, members, applicants or candidates. It may therefore be set up for selection from several different menus on your system. It is also available as a button on the menu bar.
Two types of diary can be maintained using this screen: operator and person.
Operator Diary
Linked to the operator ID and enables operators to keep a personal record of forthcoming activities affecting themselves, such as meetings and appointments. You can produce a report showing the diary entries for a specified period using the Operator Diary Report option.
Person Diary
Linked to persons recorded on ResourceLink – that is, employees, members, applicants and candidates. It enables an operator to enter significant dates against their records, such as the end of their probationary period, or the date when their next appraisal is due. Using filters in this screen, you can view diary entries for specified groups of persons (employees, members, and so on), user groups or periods. Since an operator may be restricted in the persons whose data they are allowed to view, access to person diary information can be controlled – to find out more, see Controlling Access to Person Diaries.
You can delete old diary entries for both operator and person diaries using the Diary Batch Deletion option.
You can search for person diary entries using the General Person Diary Enquiry option.
