Enables you to assign candidates to the course event, or from the waiting list to the course event.

After selecting the candidates who are to attend the event, a warning is displayed if the room capacity is exceeded. If the selected course is part of a module, the system checks whether candidates have attended the earlier courses in the module. If not, a warning message informs you.

You can assign candidates to a course event without previously specifying their requirements in Training Required. In this case, the requirements are added to their records automatically.

Note: If you remove a candidate from an event, the request for training is not deleted, but Status Update is displayed to allow the status code to be amended as required.

General

No Allocated

Display only. A running total of the number of people allocated to the course event.

Maximum Attendees

Display only. The maximum number of attendees allowed on the course at any one time, as specified in Course Maintenance.

Note: If the MISC > TRAINING > OVERBOOK system parameter is set to Y, you can exceed the maximum number of candidates stated.

MyView Reserve Max

Display only. The maximum number of reserve places that can be booked on this course event via MyView.

Paging Area

When adding candidates to a course event, Select Candidate is displayed where you can select candidates.

Emp/Ext

Display only. Displays EMP if the candidate is an employee, or EXT if the candidate is not an employee.

Name

Display only. The candidate’s name is shown.

Main/Res/Can

Specifies the candidate’s allocation to the course or its waiting list. Enter one of the following codes:

M Confirms a candidate’s (main) place on the course event. This is the default.
R Places a candidate on the waiting list for the course event. If you enter R when there are fewer than the maximum number of candidates, the system displays a warning but does not force you to change it.
C Cancels a candidate’s place on the course event or its waiting list.

Status

Displays the latest status. Click WINDOW to display Status Update where you can assign a new status to a candidate for a course event.

When you change the status of the first attendee listed in Status Update, you can also change the status of the subsequently listed attendees to match. This is particularly useful for courses with many attendees, for example, for updating the status from Course Requested to Course Request Agreed. Changing the status of an attendee other than the first does not have this effect.

Costs

Click WINDOW to display Course Costs, where you can record details of costs and candidate expenses for the course event.

Res

Indicates whether the candidate has attended the course yet and, if so, the general result obtained. This field is derived from the Result field in Training Required, although you can enter A (Attended), P (Passed) or F (Failed) in this field.

Valid values are:

R Course requested for the candidate.
V Candidate is a reserve for the event.
F Candidate failed the event. If you enter F (failed), you are asked if you would like the candidate to be placed back on the waiting list. If you respond No, the result changes to E (ended).
A Candidate has attended the event.
P Candidate passed the event.
C Candidate is cancelled from event.

Note: If Auto Update Attainments for the course is set to Y on Course Maintenance, Select Course Attainment is displayed when you enter A or P. If Auto Update is not set, you cannot update the candidate’s attainments.

The system prevents you inserting a value in this field that is incompatible with the value in the Main/Res field. Similarly, if you amend the value in the Main/Res field from M to R, the system changes the value in this field to V.

Eval

Click WINDOW to display Course Evaluation, where you can record comments about the attendee’s performance on the course.

Note: If the Browser Evaluation Forms check box is selected in Training Parameters, Evaluation Forms is displayed instead which enables you to view the training evaluation form in the web browser.

Attend

Click window to display Record Event Attendance, where you can record a candidate’s attendance of a specific course event.

M

Display only. Indicates whether a manager notification has been sent for the candidate's status. This is determined by whether a manager letter or email has been specified in Status Update for the given status.

Specific Requirements

Click window to display Specific Requirements, where you can view any specific requirements that the candidate has.

Special Aids

Click window to display Special Aids Required, where you can view any special aids or specialist equipment the candidate uses, e.g. wheelchair, walking stick.

Employee Number

Display only. The employee's number. The attendee's email address is also displayed if they are an employee.

Main Post Manager

The ID of the candidate's manager. You can override this by entering a new employee number or selecting one by clicking window to display Employee Search. The candidate's manager is derived using the hierarchy specified in Default Standard Letter and Email Templates if it exists for the given status. Otherwise the manager is derived using the hierarchy specified in the MISC > EMAIL > HIERARCHY system parameter.

Candidate Number

Display only. The candidate's number. The attendee's email address is also displayed if they are an external applicant (not an employee).

Post Short Desc, Post Long Desc

Display only. The short and long description for the post

Pay Group Long Desc

Pay group long description.

Structure Unit Desc

Display only. The structure unit to which the employee’s main post is linked.

Result Desc

Display only. The description of the candidate's result.
