Enables you to create the absence period.

To access this window, enter fast path HR195S4 and select the employee, then select the absence type from the Absence Type field drop-down list and select the Add button.

Absence Details

Absence Type

Select the type of absence being recorded from the drop-down list, or select an absence group if you want entitlement taken from multiple absence types.

Due/Matching Date

Only displayed for Parental Leave type absences. Enter the due date for the parental leave or select one from the drop-down list in the case of Shared Parental Leave, or second period of paternity leave for employees who are subject to legislation in Great Britain (England, Scotland, and Wales) with a due date on or after the 7th April 2024, or placement date of on or after the 6th April 2024.

Bereavement Date

Only displayed for parental bereavement absence type UKBRVE. Enter the bereavement date for the parental leave, or select one from the drop-down list where the leave is entered in separate weeks and a previous period of leave has already been entered for this particular bereavement date.

Due Date

This field is only accessible for an Irish (IE) employee where M is entered in the ROI Parental Leave Type field in Absence Type Definition. The Due Date and End Date fields are mandatory in this scenario. For the End Date field, this is irrespective of whether the OEA Indicator check box is selected or not in Absence Parameters.

Enter the due date for Republic of Ireland maternity leave. Start date and end date validation is applied to maternity leave, see ROI Maternity Leave Validation for more information.

Start Date

Enter the date on which the absence started.

This field is disabled for Maternity, Adoption and Paternity Parental Leave type absences.

This field is also disabled for the initial period of leave for Parental Bereavement Leave type absences.

For Great Britain (England, Scotland, and Wales) only, this field is enabled for the second period of leave for Paternity Leave type absences with a due date on or after 7th April 2024, or placement Date on or after 6th April 2024.

End Date

Enter the date on which the absence ended or leave this field blank if it is an open-ended absence. The assumed end date is then displayed (in blue) if it is an open-ended absence.

This field is disabled for Maternity, Adoption and Paternity Parental Leave type absences.

This field is also disabled for the initial period of leave for Parental Bereavement Leave type absences.

For Great Britain (England, Scotland, and Wales) only, this field is enabled for the second period of leave for Paternity Leave type absences with a due date on or after 7th April 2024, or placement Date on or after 6th April 2024.

Assoc

This check box is only displayed if the Display Absence Type Indicator field in Leave Management System Parameters is set to 3. Select this check box to only display absence types that are associated with the employee's service conditions in the following field:

Absence Code

This field is only displayed if the selected absence type, or an absence type within the selected group, is linked to a narrative category in Absence Type Definition. Select the narrative code that corresponds to the selected absence type from the drop-down list. The options are set up in the narrative category to which the absence type is linked.

Sub Type

This field is only displayed if absence sub-types have been defined for the selected absence type. Enter the ID of the absence sub-type against which you want to record the absence, or select one from the drop-down list.

Click EXIT to create the absence period, and display Absence Post Selection if the employee has more than one post.

If the employee has a single post or the default EMPLOYEE post is used and the absence type is not a parental leave type, one of the following screens is displayed depending on the absence period being created:
